Register at Certemy Portal for document evaluation. Once you've set up your account, please don't use the setup link again. If you do, it could make extra accounts and you might lose access to your work. Use the "Existing Portal Account" link from now on and save it to your bookmarks.
Once you create your account in Certemy, you need to begin the Document Evaluation application process from the Applications section in the portal. The application consists of three phases, and you need to complete each phase in order for the next phase to become available.
Your valid (unexpired) international passport (identification information pages only)
Your birth certificate
Both sides of your Canadian citizenship card/certificate (only if it shows all names, including middle names)
Note: Do not submit your permanent resident card as primary identification.
Photo:- A passport acceptable photo of yourself, the same one that you will glue to the hard copy of your application
- Taken within one year of submitting your application
- In .jpg format
- Less than 200 Kb in size
- Minimum dimensions of 400 x 600 pixels and maximum dimensions of 600 x 800 pixels
- Scanned at 300 dpi
- Cropped without any extra space around the perimeter, except for the photo border
- Not part of a scan of an identification document
- Do not upload more than one photo.
University Transcript: PEBC requires your university transcript for your undergraduate degree program.
- If emailing the transcript, request that it be sent to desubmit@pebc.ca. The email must come directly from the university or an affiliated college, be sent from a verifiable email address with a position title or department name, and not an individual's name.
- If mailing, an official, stamped and sealed copy of the transcripts must be sent directly to PEBC from your university or affiliated college via courier or email. PEBC does not accept transcripts that have been given to you or anyone else first. Do not send any additional documents that are not from your university with the transcript.
Syllabus: If your university has not been previously approved by PEBC, you may be required to submit an official university syllabus. The syllabus should include the university name, program level (e.g., Bachelor of Pharmacy), duration of the program, graduation year, and course titles with descriptions for each course in your pharmacy program. Program approval by PEBC may take up to a month, and additional documents or information may be requested. The syllabus does not need to be certified.
License status
- If You Are Currently Licensed: PEBC requires a licensing statement directly from all the licensing authorities that have issued your licenses. The statement must indicate that you are currently licensed and specify if you are in good standing. The issue date of the licensing statement must be within one month of its receipt by PEBC. You can request the licensing statement to be emailed directly to desubmit@pebc.ca by the licensing authority. PEBC only accepts documents from a verifiable email address containing a position title or department name, not an individual's name.
- If You Have Never Been Licensed: Submit a statutory declaration made before a Notary Public, Commissioner for Oaths, lawyer, or embassy/consulate official. The declaration should state "I have never been licensed anywhere in the world" and provide a brief explanation for why not being licensed. You can send the original statutory declaration with your application.
Document Evaluation: Once PEBC has received all the required items and determined that they are acceptable, your file will be considered complete. It will then take up to eight weeks for Document Evaluation to be completed. If all Document Evaluation requirements are not met eight weeks prior to the examination application deadline, there is no guarantee that you will be able to apply for the upcoming exam .
Submitting Required Hard Copy Documents to PEBC: You have 1 year to submit your documents after PEBC has received your transcripts. The time it takes to submit the necessary hard copy documents to the Pharmacy Examining Board of Canada (PEBC) depends on you and the institutions involved. It is recommended to contact your university and licensing authority (if applicable) before completing the online application. Keep in mind that if PEBC has not received your application within one year of receiving your transcript, your transcript will be shredded .
Pay Application Fee to Complete Your Online Application: Once you have gathered all the required documents, you need to complete the online application. The timeline for this step starts when you pay the application fee, so it's important to remember the date of payment .
Application Acknowledgement: Within six weeks of PEBC receiving the hard copy of your Document Evaluation application, you will be informed via the Portal if there are any outstanding requirements .
Completion of any Outstanding Requirements: If there are outstanding requirements, the time it takes to complete them depends on how quickly you can fulfill them. It's important to note that the eight-week timeline for Document Evaluation does not begin until you have met all the application requirements .
How to Properly Certify a Document for PEBC:
- Make a copy of the original document. Avoid making a copy of a copy, as it may result in reduced quality.
- Each page of the document must be stamped and/or signed by an individual who meets the qualifications listed below. This person must attest that the copy is an exact duplicate of the original. The document you send to PEBC must display the original stamps and/or signatures.
- Notary public from anywhere in the world: Stamp/seal and signature required.
- Commissioner for oaths from anywhere in the world: Stamp/seal and signature required.
- Lawyer from anywhere in the world: License number and signature required.
- Embassy/consulate official from anywhere in the world: Stamp/seal and signature required.
- Pharmacist or pharmacy technician currently licensed by a Canadian Provincial Regulatory Authority (PRA): License number and signature required. Ensure that the documents you send to PEBC show the original stamps and/or signatures of the witness, along with the witness' license number if applicable.
